Asset Files
Mojo Helpdesk supports attaching photos and documents directly to an asset record. Use them to record condition, capture the asset tag, or store the purchase invoice, warranty, and manual. Files can also be added by taking a snapshot with the webcam.
Supported files
Two kinds of files attach to an asset:
- Photos — record condition, capture the device, or photograph the asset tag and serial label. Photos appear as thumbnails.
- Documents — invoices, receipts, warranties, and manuals (for example, PDFs). Documents appear with a file-type icon.
Asset files are internal. Agents with access to the asset can see them; end users in the help center cannot.
Where files appear
The Files panel sits on the asset's detail page, directly below the main asset fields. Open an asset to find it.
The Files panel sits right below the asset details.
Who can add or remove files
| Action | Role required |
|---|---|
| View or download files | Any agent with access to the asset |
| Add or remove files | An asset manager (the Manager role, or the asset-manager permission) with access to the asset's location |
A missing add files button means the agent lacks asset-manager permission for that asset's location. An administrator can grant it.
Add files to an asset
- Open the asset and find the Files panel.
- Click add files. On an asset that already has files, click the + tile.
- Add files in one of three ways:
- Drag files onto the upload area.
- Click Choose Files to browse the computer.
- Open the take a snapshot tab to capture a photo with the device camera.
- Click select.
Several files can be added at once. They appear in the panel right away.
Three ways to add files: (1) drag and drop, (2) browse, or (3) take a snapshot.
An asset with no files yet shows a short prompt and an add files button.

View, download, or delete a file
Hover over a file to reveal actions:
- Preview — open images and previewable files in a viewer.
- Download — save the file to the computer.
- Delete — remove the file from the asset.
Limits and storage
- An asset holds up to 10 files. Remove a file before adding an eleventh.
- Each file must be within the plan's attachment size limit — the same limit as ticket attachments.
- Asset files count toward the account's storage. When storage is full, free up space or upgrade the plan before adding more.
- Each upload and deletion is recorded in the asset's activity.
Tips
- Photograph condition at check-out and check-in for a visual record.
- Keep the invoice and warranty on the asset for renewals and repairs.
- Capture the asset tag or serial label to confirm identity without locating the device.
